Challenge

Payroll Paper Solutions began as a small business in Sydney using alphabetical paper filing for customer records. As the business grew, this system became increasingly inefficient, resulting in wasted time and difficulty scaling.

When the founder’s sister joined the company she highlighted how much time was being lost maintaining the paper-based system — something that became untenable as the customer base expanded.

Approach

To begin modernising, they first moved from paper files to a database using FileMaker, but this turned out to be insufficient as the business continued to expand.

Then they evaluated CRM options and selected Act! for its flexibility, scalability and suitability for a growing company. From the start, they customised the CRM (with help from an Act-certified consultant) to match their processes and support growth.

Solution

With Act! in place, Payroll Paper Solutions consolidated customer records, switching from physical files to a unified digital CRM. The system handled large-scale contact management and storage.

They set up Act! so that communications, orders, tasks and contact history are clearly logged against each contact. Integration with email/outlook ensures all correspondence and documents are saved under the correct contact record.

Experience

Payroll Paper Solutions can now manage over 5,000 customers and 8,000 contacts with ease.

Because all emails, documents and contact history are logged in Act!, the company has a reliable, searchable record of past conversations and orders — making follow-ups, repeat business and customer service much more efficient.

The built-in dashboards for tasks, calls and emails help the managing director oversee the sales team’s activity and performance.

They’ve always been there when I’ve needed advice or assistance on how to improve processes. They’ve also been really good at pointing me in the right direction so I can learn how to use the software better.
