Challenge
When Paul Greening left corporate life to launch his own executive search firm, he needed a reliable way to manage a constant pipeline of candidates.
He described his inventory as “people” and needed a system that would help him maintain regular engagement with the market and keep a record of an ongoing communication cycle.
Approach
Rather than using standard recruitment software, which he found restrictive, he decided to use Act! for its flexibility and CRM strengths.
He engaged a certified consultant, installed synchronization tools (123 Sync), and adopted a cloud-based setup so his database would remain up to date and accessible wherever he travelled across the Asia–Pacific.
Solution
With Act! in place, all phone calls (made and received) are recorded, and email communications are stored within the system so past interactions can be retrieved if needed.
He also created a custom “key skills” tab to help narrow searches and quickly match candidates to job requirements.
Experience
Thanks to the new system, Paul estimates he recovers 10 to 15 hours per week by being able to access any contact detail immediately rather than searching through scattered records.
The integrated email marketing tools help him stay in touch with senior executives (candidates who may convert to clients) enabling consistent engagement and growth of his network.
