Challenge

Caswell Health Care provides mobile physiotherapy, occupational therapy and speech pathology services in the Sydney metropolitan area.

They needed a better way to manage patient records and simplify a billing process that had become extremely complex and time consuming.

Their workforce was often part-time and mobile, working with a wide variety of patients: the system had to work remotely, be easy to use in the field and match (or improve on) their previous paper-based record-keeping.

Approach

Caswell Health Care initially adopted an off-the-shelf version of the CRM software. Because the team needed more flexibility to match their existing workflows, they engaged consultants to tailor the system.

They also set up remote access so staff could retrieve and update patient records from anywhere.

Finally, they integrated the CRM with their accounting software (MYOB) so patient data, invoices and billing information could sync automatically, reducing manual work and improving accuracy.

Solution

The updated system digitised patient records so staff could access full patient histories (treatments, contact details and care plans) from one database.

Remote access gave therapists flexibility to update records while on the move or working off-site.

Integration with MYOB meant invoices, billing items and contact information were synchronised automatically, so billing became simpler and less error prone.

Experience

Caswell Health Care now has a fast, reliable system that supports team mobility and handles patient data centrally and securely.

They report that the billing process has become seamless and manageable.

Because all client records and billing information are in the one system, clinicians and administrators can spend more time focusing on patient care rather than paperwork.

The integration between Act! and MYOB is now seamless. We are now able to update contacts, view invoices, look up contacts and import MYOB items into Act! among many other things.
